Last updated: August 2026

This notice explains how Calming Space Limited (company no. 13894204) ("we", "us") collects, uses, and protects your personal data when you make a booking, join our mailing list, or purchase a gift voucher through this website.

We are the data controller for the personal data described in this notice. If you have any questions, please contact us at tracy@calmingspace.co.uk.

1. What data we collect and why

Bookings

• Name, email address, number of attendees
• Payment method (we do not store card details)
• Whether you'd like to join our mailing list

We use this to confirm your booking, send a receipt, and remind you of your session. Our lawful basis is contract — this data is necessary to deliver the service you've booked.

Mailing list

• Name and email address

We use this to send you news about upcoming sessions and wellness content. Our lawful basis is consent — you opt in via a checkbox on the booking form or the subscribe page, and you can unsubscribe at any time using the link in any email.

Gift vouchers

• Purchaser name and email
• Recipient name and email (where provided)
• Voucher value and treatment

We use this to issue and deliver the voucher and to verify it at the point of redemption. Our lawful basis is contract. By providing a recipient's email address, you confirm you have their permission for us to contact them to deliver their gift.

Waiting list

• Name and email address

We use this to contact you if a space becomes available. Our lawful basis is legitimate interest — you requested to be notified.

2. How we store your data

We do not sell, rent, or share your personal data with third parties for marketing purposes.

3. How long we keep your data

• Booking records — kept for 3 years after your session date for financial record-keeping, then your personal details (name and email) are removed. The booking record itself (date, location, amount) is retained for accounting purposes.
• Mailing list — kept until you unsubscribe.
• Gift vouchers — kept for 3 years after issue or redemption.
• Waiting list entries — removed once the session has passed.

4. Your rights

Under UK GDPR you have the right to:

• Access — request a copy of the personal data we hold about you
• Correction — ask us to correct inaccurate data
• Erasure — ask us to delete your personal data (the "right to be forgotten")
• Objection — object to us processing your data for marketing purposes
• Portability — request your data in a machine-readable format

To exercise any of these rights, email us at tracy@calmingspace.co.uk. We will respond within 30 days.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or call 0303 123 1113.

5. Cookies

This website does not use tracking or advertising cookies. It may use a small session cookie to keep you logged in to the booking dashboard — this is essential for the site to function and does not require consent.
